Omelhordia primarily serves business clients (B2B). If a private consumer contacts us by mistake, we delete the email (see Section 6).

2. Scope of This Policy

This policy explains what personal data we process, for which purposes and legal bases under the GDPR, where and how we store it, and what rights you have.

3. What Personal Data We Process

We do not use analytics tools and we do not store visitor data in WordPress. The only personal data we process is what you voluntarily provide via our contact forms (protected by a honeypot):

  • First and last name
  • Business email address
  • Business phone number
  • Any other information you include in your message

 

4. How We Collect and Store Data

  • Contact forms (with honeypot): Your submission is not stored in WordPress. It is forwarded directly to our Microsoft Office 365 email account, where it is stored as email.
  • No analytics / tracking: We do not use Google Analytics or similar tracking technologies.
  • No external media or social plugins: We do not use Google Fonts, Facebook plugins, or YouTube embeds.

 

5. Purposes and Legal Bases (GDPR Art. 6)

We process your personal data for:

  • Communicating with you in response to your enquiry and, where applicable, taking steps prior to entering into a contract or performing a contract (Art. 6(1)(b) GDPR).
  • Legitimate business interests, such as following up on B2B enquiries and maintaining accurate records (Art. 6(1)(f) GDPR). Our interests do not override your rights and freedoms.

We do not use your data for automated decision-making or profiling (Art. 22 GDPR).

6. Data Minimisation and Retention

We keep personal data no longer than necessary for the purposes above. Standard retention for B2B enquiries:

  • First and last name: 6 months
  • Business email address: 6 months
  • Business phone number: 6 months


Consumer emails sent by mistake: If a private consumer contacts us, we delete the message upon identification.

If legal obligations require longer retention (e.g., tax or accounting records), we may retain relevant data for the statutory period.

7. Sharing Your Data

We do not sell or share your personal data with third parties for their own marketing.

We use Microsoft Office 365 to host our email. Microsoft acts as our data processor under a data processing agreement and processes data on our instructions to provide email services.

Except for such processors (acting on our behalf), we do not disclose personal data unless required by law or necessary to establish, exercise, or defend legal claims.

8. International Transfers

Email data may be processed by Microsoft’s infrastructure. Where transfers outside the EEA occur, they are protected by appropriate safeguards such as the EU Standard Contractual Clauses (SCCs) or other mechanisms permitted under the GDPR.

9. Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, disclosure, alteration, or loss. Measures include limiting data collection to what is necessary, using reputable service providers (Microsoft 365), and access controls.

10. Cookies and Similar Technologies

  • We do not use Google Analytics or other tracking cookies.
  • We do not load Google Fonts (no connection to Google for fonts).
  • We do not embed Facebook or YouTube plugins.

 

If in the future optional features require cookies, we will ask for your consent and provide controls to manage preferences.

11. Your Rights (GDPR)

You have the following rights, subject to conditions and applicable law:

  • Access to your personal data
  • Rectification of inaccurate or incomplete data
  • Erasure (“right to be forgotten”)
  • Restriction of processing
  • Data portability
  • Objection to processing based on legitimate interests

To verify your identity, we may ask for additional information. If you provide an ID copy, please black out your photo, MRZ (machine-readable zone), document number, and Dutch BSN.

We will respond as soon as possible and within four weeks.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

12. Children’s Data

Our services target business clients and are not directed at children. We do not knowingly collect data from children.

13. Updates to This Policy

We may update this policy to remain compliant with laws or to reflect changes in our services. The “Last updated” date indicates the latest version.
